Activities Committee Minutes
Tuesday, September 2, 2008
2:30 p.m. the Overlook Party Room
Pursuant to notice previously given, a meeting of the Activities
Committee was held on Tuesday, September 2, 2008 at 2:30 p.m. in the Party Room.
Committee members present: Ruth Friedman, Co-Chairperson; Joanne Book,
Co-Chairperson; Marcia Hahn, Treasurer; Aggie Eastham; Helen Gross; Roz
Levinson; Dolores Saxe; Sylvia Goodstein; Florence Brown; Mary Ann Austing;
Myrtle Ann Holmes; Linda Tossman and Helene Stein.
Committee members absent: Ingrid Masi.
Also attending: Beverly Chaconas, Property Manager.
1. Call to Order – Ruth
Friedman called the meeting to order at 2:30 p.m.
2. Sign-In – All guests were asked to sign
in.
3. Approval of Agenda – The agenda was
approved as amended:
Add to Old Business
f. Historian for picture album.
Add to New
business: e. Request to increase Sunshine Committee budget for cards; f. Call
for Candidate Night
4. Correspondence – Mrs. Friedman announced
that she received a note from Margarette Bolden (a L.W. resident)
recommending Tracy
and Joe Blanton to be considered as entertainment to provide background music
for any
occasion that the
Activities Committee may be planning. Mrs. Friedman has a DVD of the Blanton’s
to review.
She will inform the
Committee of her recommendation after she listens to the DVD.
5. Approval of the minutes of the
Activities Committee meeting dated June 3, 2008 – The minutes of the Activities
Committee meeting
dated June 3, 2008 were approved as presented.
6. Treasurer’s Report – The Treasurer’s
Report for the period ending July 31, 2008 was approved as amended:
Check #221 –
Florence Brown for cake and supplies for decorations for June picnic. The
balance of the
Activities
Committee checking account period ending July 31, 2008 is $4,134.01.
7. Old Business
a.
Sunshine Committee – Mrs. Eastham stated that the Sunshine Committee has
welcomed several new residents:
Walter & Diane
Knott, Larry & Nancy Shinn; Fran & Neil Kabotchnick; Thomas Li and Normand Wong.
b.
Library Committee – Linda Tossman stated that residents are still supplying the
library with many wonderful
books. She noted
that they are donating books that were published after 2000. In addition, there
was a suggestion
to start an area in
the library for residents to donate children’s books . This idea was very well
received by the
committee since a
lot of the residents have young grandchildren.
c. 3100
Singles – It was noted that the Singles Group did not have a meeting during the
summer. However, it
was announced that
the group is scheduling trips for luncheons/dinners at different ethnic
restaurants.
d. June
event – Anniversary Party – Florence Brown submitted a report on the June
Anniversary Party event for
future reference.
It was noted that the event was very well attended and everyone had a wonderful
time. There
was a $78 surplus
from the event.
e. 4th
of July Parade – There was no person present at the meeting to give a report on
the 4th of July Parade.
The committee did
agree that, in the future, a chair/host for this event will be chosen earlier so
that more residents
can be contacted to
participate.
f.
Historian for picture album – Ruth Friedman stated that the committee needs to
appoint a permanent Historian
to take pictures
during events and place them in the Activity Event albums. She noted that
Marlys Moholt has agreed
to take pictures
when she is in town. Roz Levinson has agreed to place the pictures from
the last few events in the
albums. The
committee agreed that extra pictures will be displayed for residents to take
home free of charge. A
permanent Historian
was not agreed upon.
8. New Business
a.
September Bingo Night – Sept. 8th – Dolores Saxe reported that the sign up for
Bingo Night was tonight and
that there will be
a limit of 60 participants. The committee agreed to have more games played
at this event than
the last Bingo
Night. Light refreshments will be served at each table i.e. nuts,
pretzels, etc. Helen Gross will help
Dolores with this
event.
b. Mah
Jong Tournament – Oct. 16th - Roz Levinson reported that the Mah Jon Tournament
has been scheduled
for October 16th
from 12:00 noon to 5:00 p.m. On September 23rd the committee will meet to
finalize preparations.
A notice will be
posted for sign up on September 29th. There will be a charge of $6.00 for
each participant.
c.
Halloween Party – Oct. 30th - There was no report at this time.
d. Use
of Treasury Funds – There was a suggestion from Sylvia Goodstein to purchase a
Wii program for the use
in the Party Room.
After a lengthy discussion, the committee decided that this would involve too
much supervision
by someone on the
committee and should not be attempted at this time. The committee did
agree that the committee
should investigate
the purchase of a large flat screen TV for the Party Room. This purchase
would benefit all residents
in the building.
The committee appointed Ed Brown and Barry Tossman to investigate the prices and
sizes of an
appropriate TV.
Their findings will be reported at the next Committee meeting.
e.
Request to increase to Sunshine Committee budget – Myrtle Ann Holmes announced
that it has become very
difficult to
purchase good inexpensive cards to be given to residents for birthdays,
sickness, condolences, etc. on
the budget that is
presently in place for the Sunshine Committee. After a discussion, a
motion was duly made and
seconded to
increase the Sunshine Committee card budget from $75 to $150/annually.
f. Call
for Candidate Night – Lind Tossman and Aggie Eastham has agreed to host this
event. Light refreshments
will be served.
The event will take place on October 7th in the Overlook Party Room
from 7:00 p.m. to 8:00 p.m.
The committee discussed repeating the Veterans Day celebration. The
committee agreed to schedule the event. The committee also agreed that
instead of having one committee member host this event, each helper will be
assigned one
particular event responsibility. The following committee members have
agreed to help with this event: Linda Tossman, Helene Stein, Aggie Eastham, Ruth
Friedman, Florence Brown and Marcia Hahn. A meeting of the helpers will be
held October 13th at 10:00 a.m.
9. Adjournment – There being no further
business to come before the committee, the meeting adjourned at 3:40 p.m.
