Activities Committee Minutes

2:30 p.m. the Overlook Party Room

 

Pursuant to notice previously given, a meeting of the Activities Committee was held on Tuesday, June 3, 2008 at 2:30 p.m. in the Party Room.

 

Committee members present:  Ruth Friedman, Co-Chairperson; Joanne Book, Co-Chairperson; Marcia Hahn, Treasurer; Aggie Eastham; Helen Gross; Roz Levinson; Ingrid Masi; Dolores Saxe; Sylvia Goodstein.

 

Committee members absent:  Florence Brown; Mary Ann Austing; Myrtle Ann Holmes; Linda Tossman and Helene Stein.

 

Also attending: Beverly Chaconas, Property Manager.

 

  1. Call to Order – Ruth Friedman called the meeting to order at 2:30 p.m.

 

  1. Sign-In – All guests were asked to sign in.

 

  1. Approval of Agenda – The agenda was approved as amended:  Add to Old Business e. Mix and Mingle and New Business a. Use of Treasury Funds

 

  1. Correspondence – Dolores Saxe sent a “Thank You” note for the birthday cake that was presented to her at the May committee meeting.

 

  1. Approval of the minutes of the Activities Committee meeting dated May 6, 2008 – The minutes were approved as amended: Item #5 – omit sentence Dolores Saxe announced that the Bingo Night.  Insert the word “bingo” after Dolores will write a report on the bingo event if there is no report on file.  Also, Item #7 a. Myrtle Ann reported that three residents passed away this month….

 

  1. Treasurer’s Report – The Activities Committee Financial Report for period ending May 31, 2008 was received, noted, and made a part of the record.  Marcia Hahn stated that the balance of the checking account for the Committee as of this date is $4,153.82.  Marcia also stated that the balance of the checking account exceeds what the Auditors would accept as a “non-profit” committee.  She noted that this issue will be discussed under New Business.

 

  1. Old Business

 

a.         Sunshine Committee – Aggie Eastham stated that she is having difficulty finding boxes of cards that are inexpensive.  She asked the committee to give her some suggestions of places where these cards would be available.  She noted that there have been several move-ins, but she has not succeeded in finding a good time to welcome these residents to the building.  She is still trying to accomplish this task and will get permission to welcome them in the Newsletter.

 

b.         Library Committee – Judy Friedman stated that her sub-committee needs to replenish their supplies; i.e., labels, stickers, etc.  She asked the committee to approve an expenditure of $25 for these items.  After a motion duly made and seconded, the committee agreed to this request.

 

c.         3100 Singles –Joan Kirsch reported that the group is not going to do much during the summer months.  She noted that they have scheduled to take some day trips to museums.  The group has planned to go to the Afghanistan exhibit and a trip to New York City in September.  In addition, the group will attend the Montgomery College Dinner Theatre.  They also went to New Fortune Restaurant for Dim Sum.

 

d.         June event – Anniversary party – Ruth Friedman reported that to date 90 residents have signed up to participate in the Anniversary Party.  The Fun and Fancy will be the entertainment and awards will be given to The Overlook Committee Chairpersons.

 

e.         Mix and Mingle – Helen Gross stated that the Mix and Mingle in May was a huge success.  She noted that there were approximately 80 residents who signed up, however, not all attended.  She announced that there was a wide variety of food and drinks.

 

f.          Hosts for September, October and November events – The committee discussed the following events and hosts for each event:

 

            September –     Bingo Night – September 8th

                                    Host – Dolores Saxe

                                    Helpers – Marcia Hahn and Helen Gross

 

            October           Mah Jong Tournament – October 16th

                                    Host – Roz Levinson

                                    Helpers – Marcia Hahn and Judy Friedman

 

                                    Halloween Party – October 30th – 7:30 p.m.

                                    Host – Helen Gross

                                    Helpers – Ingrid Masi and Ruth Friedman

 

            November        Veterans Party

                                    The particulars for this event will be discussed at a later                                                 date.

 

 

 

Ruth Friedman stated that she would like to suggest that a Holiday Gala Cocktail Party be held in December at the Party Room of The Overlook.  She noted that poor weather conditions, residents who don’t drive at night, etc. could be the reason for a decrease in participation to the Holiday Gala at Clubhouse I.  The committee agreed and decided to have the Cocktail Party on December 13th and the event will be totally funded by the committee.  Marcia Hahn, Aggie Eastham, Ingrid Masi and Sylvia Goodstein have volunteered to help with this event.

 

f.          4th of July host – Carol Frieberg has agreed to host this event.  Joan Jones has agreed to help her and she has agreed to have the decorating of the golf carts, etc. held in her garage parking space.  The committee agreed that $15 will be given to the host of this event to replenish decorations.

 

  1. New Business

 

a.         Use of Treasury Funds – The committee discussed several ways to spend the excess monies in the Treasury fund.  Some of the ideas were the following:

 

            1.         December Cocktail Party

            2.         Wii program

            3.         Flat screen TV – Monies will be “ear marked” in 2009 for this                           item until total cost is reached.

 

  1. Adjournment – There being no further business to come before the committee, the meeting adjourned at 3:30 p.m.
